Job Summary:

Currently we are seeking an energetic, driven, results-oriented Executive Assistant (EA) to work in our Carmel, IN office. The Executive Assistant will provide administrative support for three senior leaders, who are all based in the Carmel office. The EA will also work closely with the other EAs in the office to manage maintaining the office, which includes catering coordination, ordering supplies, mailing/shipping, visitor support, and minor event planning. Join a dynamic team that fosters a framework of delivering on all aspects of core administrative and facilities support.

Responsibilities, inclue but are not limited to:

  • Calendar Management: Efficiently manage and coordinate the calendars for multiple senior leaders and participants, including scheduling meetings, appointments, and events.
  • Travel Support: Organize andbook travel arrangements, domestic and international, including multi-segmented trips and have knowledge of travel planning for air, car, rail and hotel accommodations.
  • Expense Reporting: Prepare and submit your leader's expense reports, ensuring accuracy and compliance with company policies.
  • Office Engagement Committee: Support the office engagement committee and assist with activities to foster a positive office culture.
  • Office Management: Assist with the clerical operations at the Carmel Office. To include ordering supplies, taking care of facility requests, preparing purchase orders, paying invoices, and other needs related to office equipment.
  • Coordinate office set-up and other new hire planning.
  • HR Administrative Support: Assist with HR-related tasks such as onboarding, maintaining employee records, and coordinating training sessions.


Required Skills and Experience

  • College degree preferred, not required.
  • Minimum 5 years' experience as an Executive Assistant, supporting senior leaders.
  • High level of organizational and time-management skills.
  • Ability to handle confidential information with integrity.
  • Strong communication and interpersonal abilities.
  • Detail oriented and proactive.
  • Experience supporting more than one executive.
  • Deals well with ambiguity and changing schedules.
  • Upbeat, positive energy.
  • Ability to handle challenging situations with poise.
  • Experience working with travel agents on travel, meeting and event planning that can be international in nature.
  • A good team player, willing to help out as part of the overall executive administration team.
  • Excellent computer skills including Microsoft Excel, Word, PowerPoint, and Outlook
  •  Must be able to interact with all levels within an organization.
  • Must be able to work independently and under pressure.
