Job Summary:

 

The HR Operations Specialist will support the Americas organization through management and administration of key specialty areas of the Human Resources Department. This includes communications, immigration, leaves of absence, employee onboarding experience, and management of the Americas HR Inbox. This position will report to the Sr. HR Director, Go-To-Market and Corporate.

 

You will make an impact in the following way:

 

  • HR Inbox Management
    • Analyze requests to provide face to face customer service; respond to customer inquiries and service requests by phone email, or chat through the case management system; Work as a subject matter expert in the areas of communications, immigration, leaves of absence, employee onboarding, or any function supported by HR.
    • Assist in the development and establishment of call and case management processes to track and promote the HR inbox, including the establishment of Service Level Agreements. Log case notes in the case management system for each customer inquiry or request.
    • Provide timely support to team members, HR, and managers on a variety of HR related inquiries, utilizing call and case management processes and technologies.
    • Take ownership of inquiries ensuring accurate, prompt, and consistent resolution. Escalate or transition requests as needed ensuring exceptional customer service. Redirect customers as best as possible for out of scope inquiries.
    • Work closely with COEs to provide support for team members for programs such as benefits enrollment, changes and inquiries, payroll related inquiries and issues such as paycheck discrepancies, tax withholding and direct deposit setup.
    • Help coordinate the processing of HR transactions, including new hires, terminations, promotions, transfers, and other team member data changes, in accordance with established policies and procedures.
    • Contribute to process improvement efforts by identifying opportunities to streamline workflows and enhance efficiency.
    • Share trends and insights with HR Business Partners regarding queries
  • Immigration:
    • Respond to requests for information from managers, employees, talent acquisition team and outside immigration counsel.
    • Maintain appropriate information in our immigration and global mobility records, including Public Access Files.
    • Assist with cases associated with non-immigrant and immigrant visa filings, including H-1B, TN, E-3, L-1, O-1, J-1, PERM, EB-1, EB-2, and EB-3 cases, as well as global visas.
    • Conduct routine green card tasks such as postings, advertisements, and educating managers and employees on the process.
    • Initiate services with outside vendors to assist with immigration, relocation and tax services.
    • Monitor changes to employment status, job title, office location and salary and notify appropriate stakeholders.
    • Track and take appropriate action on upcoming visa expiration dates.
    • Assist with drafting and reviewing business visa and travel letters.
  • Leaves of Absence:
    • Manages the administrative functions surrounding leaves of absences and workplace accommodations, including the Family Medical Leave Act (FMLA), American Disability Act (ADA)/ Americans with Disabilities Act Amendment (ADAAA), and other leaves of absence.
    • Administering leaves and leave returns within HCM and ensuring accurate flow to payroll.
    • Administering, guiding, and engaging in the interactive process for determining reasonable accommodations.
    • Maintaining complete, timely, and accurate records of leave and accommodation requests in accordance with company policy and state and federal laws.
  • Onboarding:
    • Coordinate and conduct new hire onboarding.
    • Introduce new hires to the company's culture, values, policies, and procedures
    • Provide guidance and support to new hires throughout the onboarding process ensuring completion of all new hire employee forms

 

What you will bring:

  • Education: Bachelor's Degree in HR or a related field or equivaleent experience.
  • Experience - Preferred 3-5 years of experience in an HR role
  • SHRM or HRCI preferred
  • Knowledge of HR policies, practices, employment laws and OFCCP regulations.
  • Strong organizational and communication skills; both written and verbal.
  • Attention to detail and ability to handle confidential information.
  • Experience utilizing an HRIS system.
  • Experience with integrating and ensuring connectivity between HR systems.
  • Resourceful and a self-starter.
